TERMS & CONDITIONS


Effective Date: September 01, 2026

These Terms & Conditions outline the policies governing travel planning and design services, reservations, payments, cancellations, refunds, and other travel-related services provided by D Luxe Destinations.

By submitting payment, authorizing a reservation, or engaging D Luxe Destinations for travel services, you acknowledge that you have reviewed and agree to the applicable Terms & Conditions.


1. TRAVEL PLANNING & DESIGN SERVICES

D Luxe Destinations provides professional travel planning and design services, including research, consultation, itinerary development, supplier coordination, and the arrangement of customized travel experiences.

Certain services require a non-refundable Planning & Design Investment. The applicable investment will be disclosed to the client prior to the start of travel design services.

Payment of the Planning & Design Investment confirms the client’s decision to engage D Luxe Destinations and authorizes the travel design process to begin.

The Planning & Design Investment compensates D Luxe Destinations for professional time, expertise, research, consultation, itinerary development, and related design services. It is separate from the cost of travel unless otherwise expressly stated in writing.


2. RESERVATIONS, PRICING & AVAILABILITY

All travel arrangements are subject to availability at the time of booking.

Quotes, rates, promotions, room categories, airfare, transportation, activities, and other travel components are subject to change until the applicable reservation has been confirmed and any required payment has been received.

D Luxe Destinations cannot guarantee pricing or availability based solely on an inquiry, proposal, quote, or previously viewed rate.

Travel suppliers may change pricing, availability, schedules, amenities, policies, or other components of a reservation at their discretion. D Luxe Destinations will communicate material changes that are brought to our attention and affect a client’s confirmed arrangements.


3. PAYMENTS & DEPOSITS

All required deposits and payments must be received by the deadlines provided by D Luxe Destinations.

Unless otherwise stated in writing, deposits are non-refundable.

Payment schedules may vary based on the travel supplier, destination, group contract, reservation type, or individual travel arrangement. Clients are responsible for reviewing and adhering to the payment schedule associated with their reservation.

Failure to submit payment by a required deadline may result in cancellation of the reservation, loss of previously paid amounts, changes in availability, or changes in pricing.

D Luxe Destinations is not responsible for a supplier’s cancellation of a reservation due to missed or late payments.

Payments made by credit or debit card may be subject to applicable processing fees when permitted by law and card-network rules. Any applicable fees will be disclosed at the time of payment.


4. CANCELLATIONS & WRITTEN CANCELLATION REQUESTS

All cancellation requests must be submitted in writing to D Luxe Destinations.

A cancellation is not considered received, reviewed, or accepted solely because a message has been sent. D Luxe Destinations will respond in writing to acknowledge the cancellation request and provide information regarding the applicable cancellation terms and next steps.

Cancellation penalties are determined by the terms applicable to the individual reservation and may include penalties imposed by hotels, resorts, airlines, cruise lines, tour operators, transportation companies, destination management companies, or other travel suppliers.

Certain reservations, deposits, planning fees, group payments, promotional rates, and travel components may be partially refundable or completely non-refundable.

Clients remain responsible for any cancellation penalties or amounts due under the terms of their reservation.


5. REFUNDS

Refund eligibility is determined by the terms and conditions applicable to the client’s specific reservation and the policies of the applicable travel supplier.

Not all cancellations are eligible for a refund.

When a refund is applicable, refund processing may take approximately 4–7 weeks after D Luxe Destinations has responded to and acknowledged the client’s written cancellation request. Processing times are estimates and may vary depending on the supplier, payment method, financial institution, and other circumstances outside the control of D Luxe Destinations.

Refunds may be issued by the applicable travel supplier, payment processor, or D Luxe Destinations depending on how the original payment was processed.

D Luxe Destinations cannot guarantee the exact date funds will appear in a client’s account once a refund has been authorized or released.

Non-refundable planning and design fees, service fees, consultation fees, and other fees identified as non-refundable will not be returned.


6. CHANGES TO CONFIRMED TRAVEL

Requests to modify confirmed travel arrangements are subject to availability, supplier approval, and any applicable change fees or differences in price.

Changes may include, but are not limited to, travel dates, traveler names, room categories, occupancy, destinations, flights, transportation, activities, and other travel components.

D Luxe Destinations cannot guarantee that a requested change can be accommodated.

Any additional costs associated with a requested change are the responsibility of the traveler.


7. GROUP TRAVEL

Group travel may be subject to additional terms, payment schedules, room-block requirements, minimum participation requirements, cancellation policies, and supplier contracts.

Each traveler participating in a group is responsible for completing required registration information and making payments by the deadlines established for the group.

A group host or organizer does not assume responsibility for another traveler’s payments unless expressly agreed to in writing.

Travelers who fail to meet required payment or registration deadlines may be removed from the group reservation and may forfeit amounts previously paid in accordance with the applicable cancellation terms.

Group inclusions, events, amenities, concessions, and special arrangements may depend upon the group maintaining required participation, room counts, or other contractual requirements established by the supplier.


8. GROUP PARTICIPATION & OUTSIDE BOOKINGS

For D Luxe Destinations coordinated group travel, travelers must book their accommodations and applicable travel arrangements through D Luxe Destinations in order to be recognized as part of the official group.

Reservations made directly with a hotel or resort, through another travel advisor or agency, an online travel agency, third-party booking platform, rewards or points program, or any other outside source are considered independent reservations and are not part of the D Luxe Destinations group booking.

Travelers with independent reservations are not guaranteed access to group-specific events, activities, transportation, amenities, concessions, upgrades, gifts, private functions, or other benefits arranged specifically for the D Luxe Destinations group, even if they are staying at the same property during the same dates.

D Luxe Destinations is not responsible for coordinating, modifying, servicing, or resolving issues related to independently booked reservations.

Where a specific group requires all participants to book through D Luxe Destinations in order to participate in private group events or experiences, that requirement will be communicated as part of the trip-specific terms.

Attempts to circumvent the D Luxe Destinations booking process do not create an entitlement to participate in or receive benefits associated with the official group reservation.


9. TRAVEL DOCUMENTS, CUSTOMS & DESTINATION ENTRY REQUIREMENTS

Each traveler is solely responsible for understanding and satisfying the passport, visa, immigration, customs, health, and entry or exit requirements applicable to their destination(s), nationality, citizenship, and individual circumstances.

Travelers are responsible for obtaining and maintaining all required travel documentation, including but not limited to valid passports, visas, electronic travel authorizations, entry permits, health documentation, vaccination certificates, and any other documentation required by government authorities, airlines, cruise lines, or other travel suppliers.

D Luxe Destinations is not responsible for the cost of entering or exiting any country or destination. Unless specifically stated as included in the client’s travel package, travelers are responsible for all applicable visa fees, electronic travel authorization fees, tourism taxes, arrival or departure taxes, customs duties, immigration fees, government assessments, resort or destination fees, and other charges imposed by a destination or governing authority.

Entry requirements, government fees, and travel regulations may change at any time and may vary based on a traveler’s citizenship, passport, residency status, travel history, age, or itinerary. Any information provided by D Luxe Destinations regarding entry requirements is provided as a courtesy and should not be considered a substitute for information issued by the appropriate government authority.

Travelers are responsible for verifying current requirements with the appropriate government authorities before departure and for allowing sufficient time to obtain required documentation.

D Luxe Destinations is not responsible for denied boarding, denied entry, deportation, delays, cancellations, missed travel arrangements, additional expenses, or other losses resulting from a traveler’s failure to obtain required documentation, satisfy entry or exit requirements, pay required government or destination fees, or comply with applicable immigration, customs, health, or governmental regulations.

Fees or expenses incurred as a result of changes to government entry requirements, immigration rules, customs regulations, health requirements, or destination policies after a reservation has been confirmed remain the responsibility of the traveler unless expressly included in writing by D Luxe Destinations or covered by the applicable travel supplier or travel insurance policy.


10. TRAVEL INSURANCE

D Luxe Destinations strongly recommends that travelers consider appropriate travel insurance to help protect their travel investment.

Depending on the policy selected, travel insurance may provide coverage for certain cancellations, interruptions, medical emergencies, delays, baggage issues, or other qualifying events.

Insurance coverage, exclusions, eligibility, and claims are determined solely by the insurance provider and the terms of the policy purchased.

D Luxe Destinations does not determine whether an insurance claim will be approved and cannot guarantee coverage or reimbursement.

Travelers who choose not to purchase travel insurance accept the financial risks associated with traveling without such coverage.


11. AIRFARE & FLIGHT CHANGES

Airfare is subject to airline rules, restrictions, schedules, baggage policies, change fees, cancellation policies, and fare conditions.

Airlines may modify flight schedules, aircraft, seat assignments, routes, departure times, arrival times, or other aspects of air travel.

When airfare is not expressly included in a D Luxe Destinations travel package, travelers are responsible for purchasing and managing their own flights unless separate airfare assistance has been arranged.

D Luxe Destinations is not responsible for airline schedule changes, delays, cancellations, missed connections, baggage issues, or other airline operational decisions.

Travelers should review their flight information regularly before departure.


12. TRAVEL SUPPLIERS

D Luxe Destinations works with independent travel suppliers, which may include hotels, resorts, airlines, cruise lines, tour operators, transportation providers, destination management companies, excursion operators, and other third-party providers.

These suppliers are independent entities and are not employees or controlled entities of D Luxe Destinations.

Each supplier may maintain its own terms, conditions, cancellation policies, operational procedures, and liability limitations.

By confirming travel arrangements, travelers agree to comply with the applicable terms and policies of the suppliers providing their travel services.


13. DESTINATION, ITINERARY & SUPPLIER CHANGES

Travel arrangements may occasionally be affected by circumstances beyond the control of D Luxe Destinations, including weather, natural disasters, government actions, civil disturbances, labor disputes, supplier operational changes, transportation disruptions, public-health events, or other unforeseen circumstances.

Hotels, resorts, airlines, cruise lines, tour operators, and other suppliers may modify or cancel services when necessary.

When D Luxe Destinations becomes aware of a material change affecting a client’s itinerary, reasonable efforts will be made to communicate available information and assist with alternatives when appropriate.

Any additional costs resulting from circumstances outside the control of D Luxe Destinations may remain the responsibility of the traveler unless otherwise covered by the applicable supplier or travel insurance policy.


14. TRAVELER RESPONSIBILITY

Travelers are responsible for reviewing all confirmations, invoices, itineraries, names, travel dates, room categories, flight information, and other reservation details upon receipt.

Any errors or discrepancies should be reported to D Luxe Destinations promptly.

Travelers are also responsible for arriving at airports, cruise terminals, transportation pickup locations, tours, activities, and other scheduled services at the required time.

Expenses resulting from missed flights, transfers, tours, activities, or other services due to traveler lateness or failure to follow provided instructions are the traveler’s responsibility.


15. CHARGEBACKS & PAYMENT DISPUTES

Clients agree to contact D Luxe Destinations regarding billing questions, cancellations, or payment concerns before initiating a payment dispute or chargeback.

Initiating a chargeback does not alter or eliminate the cancellation terms, supplier policies, payment obligations, or other conditions associated with a reservation.

D Luxe Destinations reserves the right to provide applicable booking confirmations, payment authorizations, communications, cancellation policies, Terms & Conditions, and other relevant documentation to financial institutions or payment processors when responding to a payment dispute.


16. LIMITATION OF RESPONSIBILITY

D Luxe Destinations acts as a travel planning and design service and facilitates arrangements with independent travel suppliers.

D Luxe Destinations is not responsible for acts, omissions, errors, delays, cancellations, schedule changes, service failures, injuries, losses, damages, or other circumstances caused by independent suppliers or events outside the reasonable control of D Luxe Destinations.

Nothing in these Terms & Conditions is intended to waive or limit any rights or remedies that cannot lawfully be waived or limited.


17. TRIP-SPECIFIC & SUPPLIER TERMS

Individual journeys, group trips, special events, cruises, destination weddings, or other travel arrangements may be subject to additional terms and conditions.

When trip-specific, group-specific, contractual, or supplier terms apply, those terms supplement these general Terms & Conditions and may include different or more restrictive payment, cancellation, refund, or participation requirements.

Clients are responsible for reviewing all terms provided in connection with their specific travel arrangements.


18. COMMUNICATION

Clients are responsible for providing accurate contact information and monitoring the email address, telephone number, or other communication method provided to D Luxe Destinations.

Important information regarding payments, deadlines, itinerary changes, travel requirements, and other reservation matters may be communicated electronically.

Clients should notify D Luxe Destinations promptly if their contact information changes.


19. PRIVACY & CLIENT INFORMATION

D Luxe Destinations may collect information reasonably necessary to research, design, coordinate, and manage travel arrangements.

Certain information may need to be shared with travel suppliers or service providers when necessary to complete requested travel arrangements.

Clients are responsible for providing accurate information and should only provide traveler information they are authorized to submit.


20. ACCEPTANCE OF TERMS

By submitting a payment, approving a reservation, signing or electronically accepting an agreement, or otherwise authorizing D Luxe Destinations to proceed with travel arrangements, the client acknowledges that they have reviewed and accepted the applicable Terms & Conditions.

These Terms & Conditions may be supplemented by individual proposals, invoices, group agreements, supplier terms, or other written policies associated with a specific reservation.

D Luxe Destinations reserves the right to update these general Terms & Conditions. The version applicable to a reservation will be determined by the terms provided or accepted in connection with that reservation, subject to applicable law.
